Temporary Staffing Assistant

Position Summary

Assist with the administration of the Ordway’s staffing/hiring program which includes working with all hiring managers to ensure hiring policies are executed properly, place job openings in the identified mediums, review applications, conduct reference checks, extend offers to prospective employees and conduct new employee orientations.

Work with the Human Resources Manager in general HR administration matters, including compliance with State and Federal employment laws and regulations, the administration of employee compensation and benefits, employee retention, development and termination procedures.

Duties and Responsibilities

1. Assist with staffing/hiring program, including

  • Updating and maintaining internal and external job/volunteer postings via the job line, Ordway Center website, employee bulletin board, external websites, media advertisements, industry mailing and email lists (listservs).
  • Maintain and update job descriptions, applicant acknowledgement and rejection letters, and other letters or forms as requested.
  • Screen, interview, test, and check references for job/volunteer applicants
  • Create, organize, and maintain all job files: personnel, applicant search, resources, surveys, and archives.
  • Enter and maintain human resource data on ADP’s HRIS software program.
  • Ensure organizational presence at job fairs.

2. Administer compensation and benefits program and other employee programs

    • Assist with annual employee benefits fair.
    • Coordinate annual United Way campaign.
    • Coordinate employee events; (i.e. summer loading dock BBQ, annual recognition party).

3. Ensure organizational compliance with regulatory requirements as well as all Ordway Center established policies.

    • Track applicant statistics for Affirmative Action and other required reporting.
    • Work with HR Manager on any employee relations matters to ensure appropriate course of action is taken for both employee and employer.  (EEOC, OSHA, Civil rights)
    • Participate in annual review and updating of employee handbook

4. Attend conferences and outside seminars to stay current on HR topics relevant to Ordway Center's workplace.

    • Human Resource Managers in Cultural Organizations (HRMCO).
    • Annual Performing Arts Centers Human Resource Managers meeting.
    • Other employment related seminars.

5. Support Human Resources Manager with HR initiatives.

6. Perform other related duties and responsibilities as required or assigned.

Qualifications

Education
Bachelor degree preferred; related courses in human resources required.  Courses in arts administration, non-profit or business management, visual arts, theatre or music preferred.

Experience
Minimum of 1-3 years staffing/HR experience.  Prior clerical, administrative support, or human resources experience in a non-profit, education or cultural environment preferred.  Training experience a plus.

Skills, Knowledge, Ability
Knowledge of US employment laws and regulations; strong verbal and written communication skills; good interpersonal and organizational skills; ability to organize and meet tight deadlines; integrity and confidentiality essential. Experience with ADP software or any HRIS program a plus. 

Equipment Operated
Computer, printer, telephone, calculator, copy machine, fax machine, and general office equipment.
